Hi Angie,
I’ve implemented and used Dropbox at multiple organizations. I now run a consulting business and want to use Dropbox as my base of operations. One of the challenges is that I have a career’s worth of Dropbox files that need to be reorganized to support my new business model. I’m an information scientist and recognize the enormity of this task. What resources does Dropbox provide to assist? I don’t know if this is the kind of case study that you’re seeking, but if it is, I would be a grateful test case.

What you're describing (organizing and moving data around) is never fun, and can feel daunting for sure! We have a few tools I want to call out that are likeliest to help you in your quest to tidy up your Dropbox environment:- Naming conventions help you rename files and organize folders within your Dropbox account. Applying a naming convention helps maintain consistency with your Dropbox content, giving files you choose uniform names for easier sorting and navigation.
- Some use cases include:
- You want to add the keyword “final” to easily sort by finalized file documents
- You want to customize how their files are sorted based alphabetically so he specifies the order in which the files will appear.
- Some use cases include:
- You can categorize and sort multiple files at the same time based on dates, keywords, or level of file activity.
- All sorting can be previewed and verified before files are moved.
3. Smart Move ( a feature within Multi-File Organize)- Smart move provides intelligent recommendations for how you should organize your files. You will be given the recommendation and then approve if the files should be moved. This helps you save time with the set up — limiting cost to engagement.
- Quick and easy organization with little upfront work and decision-making. Dropbox does the work for you with single-click recommendations.
- Minimize time and mental energy needed to organize with intelligent recommendations for how a mountain of files should be grouped together
- Know everything is in its place with the reassurance that you can preview first and undo changes if it doesn’t turn out right.
- Once completed, you will be able to navigate to and find content faster.
- Some use cases include:
- You onboard a new client and start to receive all of their new files. To organize, you use Smart Move to quickly assign the files into their appropriate folders.
- You want to organize your files but don’t know where to start. Use Smart Move to offer suggestions on how to group your files.
- You can create folders that automatically perform specific tasks like converting, categorizing, sorting, or tagging.
- Every time a file is added to an automated folder the designated action occurs.
- All automated folders can be created and viewed in a centralized dashboard.
